JOB DESCRIPTION
ASSISTANT MANAGER
The Assistant Manager reports to the Community Manager and the Regional Property Manager. The Assistant Manager is responsible for working with the Community Manager in the general administration of the property and performing all related clerical functions.
Responsibilities:
- Prepare and maintain complete resident files.
- Maintain general office files.
- Assist advertising preparation.
- Type letters and memos.
- Assist in showing units and screening applicants.
- Assist in scheduling of vacant units for refurbishing and occupancy.
- Assist in maintenance of work order system and in following purchase order procedures.
- Assist in maintaining the required postings.
- Prepare late notices and notices to pay rent.
- Order office supplies within established budgeted guidelines.
- Maintain tickler files for annual apartment inspections.
- Assist in keeping the apartment condition and status chart up to date.
- Assist in typing monthly reports.
- Assist in collection of rents and preparation of receipts.
- Work with attorney and Community Manager regarding legal proceedings.
- Assist in maintaining all required inventories for project supplies and equipment.
- Maintain records of rental levels of comparable units in surrounding area monthly.
- Answer the phone pleasantly.
- Maintain courteous communications with residents, applicants, and representatives of other companies.
- Assist in fulfilling the Affordable Program requirements and reporting.
- Must attend Company sponsored events that relate to the development of the team, which, from time to time, may include overnight stays at locations away from the employee's home.
Experience:
The Assistant Manager should have the following minimal skills:
- Minimum of 1 year Property Management experience with some supervisory responsibilities
- High school education.
- Accurate typing.
- Accurate use of adding machine.
- Full-time secretarial experience (related fields preferred).
- Bookkeeping experience.
- Ability to work with and understand persons of all ethnic and family backgrounds and understand the problems of residents.
- Ability to assist the Community Manager in his/her duties.
- Capable of assisting in the performance of the Community Manager's duties in his/her absence.
- Be able to Maintain work pace appropriate to given work load
- Perform simple and varied tasks
- Relate to others beyond giving and receiving instructions
- Be a team player
