DESCRIPTION
OFFICE ADMINISTRATOR
SUMMARY
The Office Administrator reports to the Property Manager and is responsible for rent collection, generating reports, refunding security deposits, and general office duties for five apartment communities.
RESPONSIBILITIES
- Collect rents, input data into YARDI database
- Manage delinquent accounts: send out letters, follow up
- Refund security deposits: verify information, data entry, prepare and submit report
- Prepare banking deposits
- Communicate with residents by phone
- Prepare and serve legal notices to residents according to law
- Write/prepare reports
- Maintain courteous communication with residents and respond to needs timely
- Compliance with apartment management laws
- Must attend Company sponsored events that relate to the development of the team, which, from time to time, may include overnight stays at locations away from the employee's home.
EXPERIENCE
- At least 2 years' experience in property management recordkeeping
- High level of organizational and time management skills required
- Effective problem solving, verbal and written communication skills required.
- Ability to read and understand documents and reports
- Requires an intermediate level of mathematics, general office and administrative experience
- Intermediate computer skills in Word, Excel, Outlook, Internet, typing, calculator required
- Experience with YARDI database/accounting software preferred
- Ability to work at five different worksites each week: Valid driver's license, current vehicle insurance, and a driving record in accordance with company policies and company's insurance carrier required
- Ability to move around the property, including navigate stairs, to serve legal notices
- Ability to work independently and contribute to the team
- Ability to maintain work pace appropriate to given work load
- Ability to work with persons of all ethnic and economic backgrounds
